ADMINISTRATION ADMISSIONS POLICY

It is the policy of Hocus Pocus Poppets that our service is open to all families in our community. We are committed to operating open and fair Admissions Procedures.

Admissions Procedures

Each child must be between the ages of 24 months (2 years) to 48 months (4 years) when attending Hocus Pocus Poppets. Parents seeking to secure a place for their child must complete a booking form via our online system. A completed booking form must be completed prior to the child attending. Children will be admitted on a ‘first come first served’ basis, following submission of the booking form.

PAYMENT POLICY

Fees are set based on affordability for parents and of the sustainability of the service. The payment must be paid in advance at the time of booking. Fees must be paid even when the child is absent due to illness, except in special circumstances at the managers discretion.

CANCELLATION POLICY

If for any reason you will not be able to attend your session no refund will be issued if cancelled less than 72 hours (3 days) beforehand, we will however offer to move your booking.

COLLECTING CHILDREN POLICY

Entrance to the building is always secure by a doorbell system and password changed throughout the day. Strictly used by named parents/carers/guardians on booking form only. No children will leave premises with anyone other than those previously stated unless prior notification beforehand has been agreed. Any persons deemed unsafe e.g. alcohol consumption, threatening behaviour will not be allowed to collect or see children. The police will be called and notified immediately. Children are to be collected on time; failure to collect within 1 hour without notice with be handed over to the appropriate authorities.

RECORD KEEPING POLICY

Records as required by the Data Protection Act 2018 will be maintained for 2 years and made available to parents and any relevant persons, to ensure the health, safety and development of all children attending the service.

Procedures

  • All records are kept up to date and accurate at all times.
  • All confidential records are stored securely when not in use.
  • Parent, carers, or guardians will be asked to co-sign the medical administration form and accident report form, when necessary.
  • All records written are impartial and factual.
  • Records in relation to Child Protection concerns are stored in a separate locked filing cabinet and are shared only on a need-to-know basis in line with our Confidentiality Policy.

TOILET TRAINING POLICY

Hocus Pocus Poppets will not be participating in toilet-training at this time due to low staff numbers, maintaining ratios and are unable to provide the one-to-one support needed for this crucial stage of development. Children attending Hocus Pocus Poppets must be either in nappies or fully toilet trained. Toilet aids are available in all facilities to encourage independent toileting and continue a similar routine to at home. To discuss please contact management.

CONFIDENTIALITY POLICY

It is our policy to keep all confidential personal information about the children, families, staff  involved in our service. Personal information about families in relation to Child Protection concerns will be shared on a need to know basis in line with our Child Protection Policy.

Confidentiality procedures

Parents will have access to records kept in the service, but only in relation to their own child. All new staff  will be informed of our confidentiality policy and procedures as part of their induction programme. Information held in the service in relation to Child Protection Concerns will be stored in a separate secure location and will be shared only on a need to know basis in line with our Child Protection Policy and with Data Protection Legislation.
